How can you create a Quality Management Plan, (QMP)?

Quality Management Plan (QMP), which was introduced in ISO 9001:2008, provides a systematic approach to improving processes, products, and services through continual improvement. It focuses on the ability to measure, analyze and control processes and customer satisfaction.

QMP is a standard way to improve business performance. QMP improves production, service delivery, as well as customer relations. QMPs should address all three dimensions: Products, Services, and processes. The QMP that only addresses one aspect of the process is called a Process QMP. When the QMP focuses on a Product/Service, it is known as a "Product" QMP. And when the QMP concentrates on Customer Relationships, it is called "Customer" QMP.

Two main elements are required for the implementation of a QMP. They are Scope and Strategy. They can be described as follows:

Scope: This determines the scope and duration of the QMP. If your organization wishes to implement a QMP lasting six months, the scope will determine the activities during the first six month.

Strategy: These are the steps taken in order to reach the goals listed in the scope.

A typical QMP consists of 5 phases: Planning, Design, Development, Implementation, and Maintenance. Below is a description of each phase:

Planning: In this stage the QMP's objectives and priorities are established. In order to fully understand and meet the needs of all stakeholders involved in this project, they are consulted. After identifying the objectives, priorities and stakeholder involvement, it's time to develop the strategy for achieving the goals.

Design: This stage involves the creation of the vision, mission, strategies and tactics necessary to implement the QMP successfully. These strategies are implemented by the development of detailed plans and procedures.

Development: Here, the team develops the resources and capabilities that will support the successful implementation.

Implementation: This refers to the actual implementation or the use of the strategies planned.

Maintenance: This is an ongoing procedure to keep the QMP in good condition over time.

Several additional items should be added to the QMP.

Participation by Stakeholders is essential for the QMP's continued success. They should actively be involved during the planning and development, implementation, maintenance, and design stages of QMP.

Project Initiation. It is important to understand the problem and the solution in order to initiate any project. In other words, the initiator needs to know why they want to do something and what they expect from the outcome.

Time Frame: The time frame of the QMP is very critical. A simple version is fine if you only plan to use the QMP for a brief period. For a long-term commitment you may need more complicated versions.

Cost Estimation. Cost estimation is another crucial component of QMP. You can't plan without knowing how much money it will cost. The QMP should be cost-estimated before it can begin.

QMPs are not just a written document. They should be a living document. It changes as the company grows. It should be reviewed on a regular basis to ensure that it is still meeting the company's needs.
